Privacy Policy.

Cardinal Notary Partners treats personal information and the contents of documents handled in the course of its work with the discretion expected of a professional services firm. This policy explains what information is collected, how it is used, and how it is safeguarded.

i. Scope

This policy describes how Cardinal Notary Partners, LLC ("the firm," "we," "us," or "our") collects, uses, and discloses information when you visit cardinalnotarypartners.com or engage the firm for notarial, signing, apostille, courier, or related services.

By using this website or engaging our services, you acknowledge the practices described below.

ii. Information We Collect

Information you provide

When you complete the contact or booking form, schedule an appointment, or otherwise correspond with the firm, you may provide:

  • Name, telephone number, and email address
  • Mailing or physical address where service is to be rendered
  • A description of the document(s) and the service requested
  • Preferred appointment date, time, and location

Information collected during a notarial engagement

Indiana law requires every notary public to maintain a journal of notarial acts. The journal records, at minimum: the date and time of the act, the type of act, the type and details of the document, the signer's name and signature, the form of identification presented, and the fee charged. This journal is the property of the notary and is retained as required by Indiana statute.

Information collected automatically

Like most websites, this site may collect limited technical information through standard server logs and, if enabled, analytics tools — such as your IP address, browser type, pages visited, and the date and time of the visit. This information is used in aggregate to understand site performance and is not used to identify individual visitors.

iii. How We Use Information

Information provided to or collected by the firm is used to:

  • Respond to inquiries and schedule appointments
  • Render the notarial, signing, apostille, courier, or related service requested
  • Maintain the notarial journal required by Indiana law
  • Communicate with title companies, lenders, or third parties as necessary to complete a transaction you have engaged us for
  • Issue and collect fees
  • Maintain reasonable records of work performed for the firm's own business and accounting purposes

iv. Confidentiality of Documents

The firm does not retain copies of client documents beyond what is reasonably necessary to complete the engagement and to maintain the notarial journal entry required by statute. Where scan-backs or document images are exchanged with title companies or lenders as part of a loan signing or similar engagement, those exchanges occur through the channels specified by the engaging party.

Information observed in the course of a notarial appointment is treated as confidential and is not disclosed to third parties except as required by law, by court order, or as expressly authorized by the client.

v. Sharing of Information

The firm does not sell, rent, or trade personal information. Information may be shared only:

  • With title companies, lenders, escrow officers, or other parties to a transaction you have asked us to assist with
  • With government authorities, where required by law, subpoena, or court order
  • With professional service providers (such as the firm's accountant or insurer) under reasonable expectations of confidentiality

vi. Retention

The notarial journal is retained for the period required by Indiana statute. Contact-form submissions and routine correspondence are retained for a reasonable period necessary to address the matter and to comply with the firm's records-keeping practices, and are then deleted or archived.

vii. Cookies & Analytics

This website may use cookies or similar technologies to support basic functionality and to collect aggregate analytics. You may configure your browser to refuse cookies or to alert you when cookies are being sent; certain site features may be limited if you do so.

viii. Security

The firm takes reasonable measures to protect information in its possession against unauthorized access, alteration, disclosure, or destruction. No transmission of data over the internet or any method of electronic storage is, however, perfectly secure, and the firm cannot guarantee absolute security.

ix. Children

This site and the firm's services are directed to adults. The firm does not knowingly collect personal information from children under the age of 13.

x. Changes to This Policy

This policy may be updated from time to time. The "Last Updated" date above will reflect any revision. Material changes will be communicated through this page; continued use of the site or our services following an update constitutes acceptance of the revised policy.
